Client Onboarding Packet

Before a project begins, both teams need to be aligned on process, expectations, and communication. This packet covers how we work, what we need from you, and how to make the project run smoothly from kickoff to delivery.

How RetroMotion Projects Work

Every RetroMotion project follows a consistent structure: discovery and planning, pre-production, production, post-production, and delivery. Each phase has defined outputs and approval points. Nothing moves to the next phase without confirmation from your team.

This is not bureaucracy — it is protection. Clear approvals mean that when you receive the final video, it reflects decisions you made and confirmed, not assumptions we made on your behalf.

What We Need From You Before Kickoff

  • A signed project agreement and initial deposit
  • Your primary point of contact — one person who has approval authority
  • Brand assets: logo files, colors, fonts, and any guidelines (see the Brand Asset Checklist)
  • A confirmed shoot date or date range
  • Access to the filming location and any approvals needed to film there
  • A list of on-camera subjects and their titles
  • Any existing video, photography, or brand materials that should inform the creative direction

Communication During the Project

  • All official communication happens through email — not text messages, not DMs
  • Approval requests will come with a clear deadline and a specific question to answer
  • Feedback on review cuts should be submitted in the client portal or as a single consolidated document — not as multiple fragmented emails
  • If something is unclear, ask — do not assume. We would rather answer a question than fix a misunderstanding after the fact
  • Your assigned production contact will keep you updated at each phase transition

Project Phase Overview

  1. Discovery and planning — we align on goals, audience, message, and creative direction
  2. Pre-production — we develop the script or outline, shot list, and schedule; you review and approve
  3. Production — we film on the confirmed date(s); your team shows up prepared
  4. Post-production — we edit and deliver a Rough Cut, Fine Cut, and Final Cut for your review
  5. Delivery — final files are delivered after the final balance is paid; we walk you through the file package
The Single Stakeholder Rule

Projects move fastest when one person on your team has final approval authority. When feedback has to travel through multiple departments or sign-offs before it reaches us, revision cycles get long. Identify your decision-maker at the start and keep them in the loop throughout.
