Privacy Policy

Who we are

This policy covers retromotion.co, the website of RetroMotion Creative LLC (“RetroMotion Creative,” “we” or “us”), a video production company based in Winter Garden, Florida. It explains what information we collect through the site, how we use it, and the choices you have. Questions about this policy can go to justin@retromotion.co or (407) 917-5947.

Information you give us

Contact form

Your name, email address, project type and message. The form sends this to us by email and sends you a confirmation email.

Pricing estimate tool

If you ask us to email you an estimate, we collect your name, company, email address and the answers you gave the estimator. We send the estimate to you and a copy to us.

Casting and talent submissions

Your name, email address, phone number, city, age range, the role or talent type you are applying for, links you provide (such as headshots, reels, self-tapes, portfolio and social profiles), your experience, and the consent choices you select on the form. We store these submissions on our server and email a copy to our casting inbox so we can review them.

Client portal

If we set up a client portal account for you, we store your name, email address and a hashed version of your password, not the password itself.

Information collected automatically

• Google Analytics. We use Google Analytics to understand how people use the site. It uses cookies to collect information such as the pages you visit, how you reached the site, your device and browser type, and your approximate location. It also records when a contact form is sent successfully, without the contents of the message. Our Google Analytics measurement ID is G-DSSS94EDNV, and it is set to keep user-level and event-level data for 14 months.
• Server and security logs. Our hosting and network providers record technical information such as IP addresses, browser type and the pages requested, to deliver the site and protect it from abuse.
• Spam protection. Our forms check how long a form took to fill in and include a hidden field that people do not see, to filter out automated submissions.

How we use information

• To reply to your inquiry and talk with you about a project.
• To send you an estimate you asked for.
• To review casting and talent submissions and, where you agreed, contact you about casting opportunities.
• To provide the client portal.
• To measure and improve the site.
• To keep spam and abuse out of our forms and inbox.

We do not sell your personal information.

Service providers

We use the following companies to run the site. They handle information only as needed to provide their service to us.

• Google: Gmail delivers form submissions and confirmation emails. Google Analytics measures site traffic.
• Anthropic: form submissions (name, email address, project type or role, and message) are checked by an automated spam filter that uses Anthropic’s API.
• Render: hosts the website and stores form data such as casting submissions.
• Cloudflare: delivers the site and protects it from attacks.
• YouTube: videos on the site are embedded with YouTube’s privacy-enhanced mode (youtube-nocookie.com). Playing a video is subject to Google’s privacy policy.
• Calendly: if you book a call through a Calendly link, Calendly’s privacy policy applies to that booking.

We may also disclose information if the law requires it.

Cookies

Google Analytics sets cookies to tell visits apart. The client portal uses a session cookie to keep you signed in. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with the Google Analytics Opt-out Browser Add-on.

How long we keep information

We keep inquiry emails and estimates for as long as they are useful for the purpose you sent them for, or until you ask us to delete them. We keep casting and talent submissions, including submissions made for minors, for [TO CONFIRM: retention period for talent data, including minors], or until you ask us to delete them. Submissions blocked by our spam filter are kept in a short log, limited to the 200 most recent, so we can recover a real message that was blocked by mistake.

Your choices

You can ask us to show you, correct or delete the personal information we hold about you, or to stop contacting you about casting. Children

This site is not directed to children under 13. Casting submissions for anyone under 18 must be made with a parent or guardian’s permission. If you believe a child has sent us information without that permission, contact us and we will delete it.

Security

The site is served over HTTPS, and account passwords are stored only in hashed form. No method of sending or storing data online is completely secure, so we cannot guarantee absolute security.

Changes to this policy

If we change this policy, we will post the new version on this page and update the effective date above.
